Financial Edge NXT currently allows only a single default Accounts Receivable (A/R) control account to be assigned for all receivable transactions. While this approach may be sufficient for many commercial organizations, it creates significant challenges for nonprofit organizations utilizing fund accounting and reporting under U.S. GAAP.
We recommend enhancing Financial Edge NXT to allow the default A/R account to be assigned at the project, fund, or transaction level rather than relying on a single global A/R account.
Business Need
Many nonprofit organizations maintain separate net asset classes, funds, projects, or donor-restricted activities that require distinct balance sheet presentation and reporting. Under current functionality, all receivable activity posts to a single A/R control account, requiring organizations to create manual journal entries, allocations, or workarounds to properly classify receivables among funds and net asset categories.
This limitation becomes particularly problematic when organizations manage:
Contributions receivable with donor restrictions
Grants receivable associated with specific programs
Multi-fund operations
Government contracts and reimbursement arrangements
Separate legal entities maintained within a single Financial Edge database
GAAP and FASB Considerations
Under FASB Accounting Standards Codification (ASC) 958, Not-for-Profit Entities, organizations are required to distinguish between net assets with donor restrictions and net assets without donor restrictions. Receivables often represent future economic benefits associated with specific donor-imposed restrictions or program activities.
While the current Financial Edge structure allows receivables to be associated with projects and funds through reporting dimensions, the underlying balance sheet control account remains consolidated into a single A/R account. This can obscure the relationship between receivables and the net asset classes they support and frequently necessitates manual reclassification entries for financial statement preparation.
From a GAAP perspective, organizations should be able to maintain accounting records that accurately reflect the nature of assets and related net asset classifications. Allowing fund-specific or project-specific A/R control accounts would better align the system with nonprofit financial reporting requirements and reduce the risk of manual adjustments.
